Translator manual

Onboarding through to payouts. Follow top-to-bottom the first time.

Sign up as a translator

Go to /register and pick Work as a translator. Unlike customer accounts, translator accounts are not auto-activated — a manager reviews every application.

Your account is immediately created and you can fill in your profile, but you can't claim or be assigned orders until a manager approves you.

Profile essentials

Open /translator/profile. The top card collects:

  • Short bio — a paragraph or two. Mention specializations (legal, medical, immigration), years of experience, and certifying bodies.
  • Rate per page / per word — in USD. We use these as reference numbers when calculating payouts; the customer always pays the flat /page.
  • Payout method — Stripe Connect, Wise, bank transfer or PayPal. Stripe Connect is the fastest path (see below).

Language pairs

Add every pair you can work on. Same-language pairs are ignored. You won't see marketplace orders for pairs that aren't on your list, and managers can only assign you work that matches.

Certifications & sample works

Below the pairs you'll find two upload sections:

  • Certifications — ATA, CCHI, NAATI, linguistics diplomas, etc. Attach the PDF or scan; include the issuer and year. Only managers and you see these.
  • Sample works — 1–3 short pieces showing your style. Pick the pair for each sample.

Submit for manager review

Once the profile feels complete, click Submit for review. The banner on your profile switches to Awaiting manager review. Managers get a notification and will either approve you (status becomes active) or reject with notes (status rejected). If rejected, address the notes and resubmit.

Entrance test

When you submit your profile, if there's an active passage for any of your language pairs, the system assigns it automatically with a 24-hour deadline. Open /translator/entrance-test:

  1. Read the source text in the panel.
  2. Paste or type your translation in the text area.
  3. Click Submit translation before the deadline.

Admins review the source and your answer side by side during profile approval. If no active passage matched your pairs, the test is simply skipped and managers proceed on the rest of the profile.

Once submitted you can't re-submit. If you miss the deadline, contact support to request a new window.

Assigned orders

After approval, /translator/orders lists orders a manager has directly assigned to you. Each row links to the order detail page where you work on it.

Marketplace (v2)

/translator/marketplace shows paid, unassigned orders that a manager has explicitly released to the marketplace. The list is filtered to only your declared language pairs. Click Claim on a row to take ownership — first-claim wins, enforced by a row-level lock so two translators can't accidentally grab the same order.

Working an order

Open an order from the list. You'll see:

  • Source files — download link for each one.
  • Upload translation — your completed translation (PDF or DOCX). Drag-drop or click the uploader.
  • Submit for review — once your file is uploaded, press this to hand off to our review team. The order status moves to Awaiting review.
  • Messages — for clarifications with the customer and the review team.
The review team may send the order back with notes. When that happens the status becomes Revision; read the notes, upload a new file, submit again.

Messages

Each order has a message thread. Replies go to the customer and to the review team. Internal messages (that the customer shouldn't see) are not supported from the translator side — use them sparingly with the review team through the subject of the order.

Payouts

Your earnings history at /translator/history shows each paid order, the pages, and your share. Admins create scheduled payouts (weekly or per order) that roll up into a single entry with status Pending → Paid.

Stripe Connect onboarding (v2)

Connect is the fastest payout channel — US/EU translators can get paid within a business day. From your profile, click Onboard with Stripe Connect. You'll be redirected to Stripe's hosted onboarding (or, in the current dev environment, a simulated URL). Once Stripe confirms the account, the admin can push payouts directly to your Connect balance.

While the integration is vendor-blocked pending Stripe approval, the onboarding flow stores a placeholder account id so the rest of the pipeline is testable.

Earnings history

Filter the history page by date range, pair and status to reconcile your records. Each row shows completion date, pages, pair and amount.

Work etiquette

  • Never send the source document outside Linguapass. No email, no cloud drives. Files stay encrypted in our storage.
  • Translate the full document. Stamps, marginalia, notary seals, issuing authority — all of it. USCIS rejects summary translations.
  • Flag anything unclear in the message thread rather than guessing. A one-sentence question beats a rework.
  • Keep formatting close to the source. Tables stay tables; signatures are indicated inline (e.g. [signature]). Don't fabricate layout.
  • Hit the turnaround window. The system warns you about Rush/Expedited in the UI; missing a window can trigger a customer refund of the surcharge.
